What Servanda does
All of it, in one place.
One system for running buildings and estates: the register, the works, the board, the statutory work and the handover. This is every part of it that is live today. Nothing on this page is a roadmap.
i
The register and the working day.
Every obligation on every site, and the proof of it, recalculated before anyone is in.
A register for every site
What must be done, when it was last done, and the document that proves it. Recalculated every morning, so the list is the true one.
Four states, not three
In date, due soon, overdue, and no record at all. A gap is never mistaken for a lapse.
Each manager's morning
Their own sites, worst first, in the app and by email, with the next step already prepared.
Certificates read for you
Drop a PDF on. The dates, the assessor, the outcome and every remedial action come out, and a person confirms them.
Remedial actions, closed
Each action gets a due date from its priority and stays on the list until it is done.
Handover intake
Take on a new site by dropping every document in at once. Each is read, sorted and proposed for filing; the board answers plain questions about the building on a link; the building is researched at Companies House and on the web.
Fire door returns
Leaseholders self-certify their flat entrance doors on a link, with photos.
Evidence on a print button
A dated evidence pack for the insurer, the board, a buyer's solicitor or a tribunal. Every action is audited: who, what, when.
ii
Works and contractors.
From the overdue item to the signed-off job, without the email tennis.
Works orders and quote requests
Raised from the register or straight from a remedial action, with the scope and the site filled in.
A portal for every contractor
A personal link, no password: their jobs, quotes, dates, photos, certificates and invoices in one place. You see when they open it.
Open jobs
Post a job and your approved contractors quote on it in their portal, sealed from each other. The award checks the lowest quote, the minimum number of quotes, the site's authority limit and whether Section 20 is likely to apply.
Checked in at the door
Contractors check in and out with the QR poster on the building, location optional, take before and after photos, and sign on completion.
Vetting that keeps itself current
Contractors upload their own insurance and accreditations. Expiry reminders and a scorecard follow.
Reminders that stop
Confirm the date, remind the day before, ask for the certificate, then hand to a person. Never an endless chase.
iii
The board and the building's people.
Directors, leaseholders and residents see what they need, on the agent's own pages.
A board portal
What needs the directors first, the whole works record, invoices to authorise, resolutions with votes and a printed minute, documents, and a line to ask the agent.
Self-managed sites
Directors who run their own building or estate manage their contractors and checks through the same portal.
The authority to pay
Servanda records who authorised what. A person pays.
Site reports
A real PDF for the board, or a lighter one for leaseholders, on a schedule if wanted.
Residents report a problem
On the agent's own page, then follow it on a link. Updates go when a person presses Send.
Care built in
A report that reads as distress is held for a person, with Samaritans and 999 shown. It is never answered by a template.
iv
Section 20, sales and signatures.
The statutory and transactional work, each on its own clock.
Section 20 consultations
All four routes, every deadline worst first, notices on the agent's letterhead, the service register, observations and estimates, and the whole consultation file ready for a tribunal.
Sales packs
LPE1 and FME1 on a working-day clock from cleared funds, with the fee captured.
E-signatures
Place the fields, sign by drawing or typing, a certificate of completion, locked once signed.
v
New builds.
For housebuilders handing a development to the agent.
A developer portal
The handover checklist and documents, in one place the developer and the agent both work from.
A pack for every plot
A homebuyer pack behind a QR card, for houses and flats alike.
Defects to the developer
Passed on with the developer's replies kept, and a monthly developer report.
vi
The platform.
Underneath everything above.
Your brand on everything
Portals, sign-in, emails and PDFs wear the agent's name. "Powered by Servanda" is the only trace.
Fenced in
Every organisation is walled off in the database itself, and that wall is tested.
UK-hosted, backed up nightly
Your data stays in the UK.
An API
Each organisation has its own, for the systems you already run.
vii
What it will not do.
On purpose.
Service charge accounting
Your accounts package holds the money. Servanda holds the building, so the two never argue.
Move money
It records the authority to pay. A person pays.
Decide on its own
Nothing it reads or drafts is final until a person confirms it.
Witnessed deeds
E-signatures are for everyday documents, not deeds that need a witness or anything for the Land Registry.
See it with
your sites.
No account and no obligation. The founder replies, not a sales team.
